What's New

  • Assessments customization: the complex customization system available for the Detailed Assessment has now been extended to all the built-in assessments from Automation Hub:

    • Overview assessment ​(that's part of all submission forms)
    • High-level assessment (that's part of Share an idea form)
    • Citizen-developer assessment​ (that's part of the Share an automation form)
    • Miscellaneous assessment​ (includes the Benefits, Challenges, Lessons Learned, Media and Similar Automations questions that are part of all automation profiles)
  • Assessments per category: System Admins can now build and customize different assessments for each category from their Categories structure. This capability applies to all the existing assessment types.

  • Assessments customization: new option to restore a default question or KPI for cases when during customization a question or a KPI that was part of the original UiPath assessment has been deleted.
Note: Find below the changes that have occurred in Automation Hub once the customization system has been extended to all the assessments:
  • Assessments customization > High level assessment:

    The experience for customizing the High level assessment has been updated to be consistent with the customization experience available for all assessment types. The specific changes are:

    • Answer scores are no longer limited to a maximum of 100.
    • Impacts idea score setting now corresponds to the generic Can impact KPI setting.
    • Show question setting has been removed, by default all new questions will be displayed, unless the new Hide everywhere setting is selected from the Visibility dropdown list.
    • The Edit question weights modal has been removed. Instead, the weights of each questions are now displayed in the Formula field of the Idea score KPI.
    • The answer options and scores for the documentation question can now be modified.
    • Reset to default action has been replaced by the option to create a new assessment by starting from the Default assessment.
    • Save as a draft action has been decommissioned. Users can save multiple versions of assessment now.
  • Customize Assessments:

    • All categories contains all five assessments types that exists in Automation Hub, and you can customize each assessment that needs to apply to All categories section.
    • Take offline action lets you remove an assessment from a certain category structure so it's no longer live and visible in the submission forms.
    • Download action lets you download an assessment from a certain category structure and then upload it to another category from the same tenant or to another tenant. The downloaded file is in .aha file type.
    • Create new assessment is now available and contains the following actions: Start Fresh, Copy existing, Default Assessment, Upload. You can now start creating an assessment from scratch, copy an existing one, start customizing a default one or upload a downloaded assessment.
  • Submission forms:

    • The Overview section is common to all submission forms, displaying the following fields: Automation Name, Automation ID, Description, Categories, Pain Points and Negative Impact. The Overview fields can be customized from the Customize assessments page in the Admin Console.
    • All submission forms display next to the assessments title a tooltip showing the version name that is set live.
    • Share an idea form: the Process Owner question is optional for submission by default, and no longer displays the "I don't know" option. Admins can decide if the question should be mandatory in the Customize assessments page.
    • Share an automation form: the layout of the questions has been standardized such that some questions appear vertically stacked on the page (like Share an idea questions) and others, the questions from Pre and post automation section, appear in a tabular format (like Share a CoE driven idea questions). The Compliance and privacy check has been removed from the form as this was duplicated with the privacy mention displayed for each document question type.
  • Automation Profile > About page:

    • Every assessment title has a tooltip next to it showing the assessment version name that the idea is using.
    • The High level assessment questions and answers are now displayed vertically stacked on the page instead of a tabular format.
    • All the optional questions displayed at the bottom of the profile page (Benefits, Challenges, Lessons Learned, Media, Similar Automations) have been grouped into the Miscellaneous assessment. Admins can decide in the Customize assessments page if and how these questions should continue to appear in the profile page.
  • Workspace tables:

    • All tables that include automation ideas (Automation Pipeline, My submissions, My Collaborations, Following) are enhanced with additional columns for showing the answers collected via assessments. Each question or KPI from all five assessments is represented as a separate column in the tables as long as the ‘Hide from Automation Pipeline’ setting is not selected in the Customize assessments page for that question or KPI.
    • New columns are added for displaying the version name for each assessment type: Overview version, High level assessment version, Citizen Developer assessment version, Misc assessment version.
    • The order of the columns in the tables is now alphabetical, except for the first 8 columns that include important information like Automation name, Last modified, Date Submitted, Category, Submitter’s Business Unit, Submitter’s Department, Phase, Status, Collaborators.

  • Import Pipeline:

    • Automation ID and Description columns are now in a different order in the table, being displayed after the Launch Date column.
    • Pain points and Negative impact are two new columns added to the template as they are part of the default Overview assessment.
  • Automation Store: The profile of an automation in the Automation Store will keep the same layout. If during customization of the Citizen Developer assessment default questions are removed, then those fields are not displayed in the Automation Store profile. If new custom questions are added the Automation Store profile is not updated with new fields.

Improvements

  • Interface changes and improvements for assessments customization.
  • Customize assessments page > Edit mode > Sections: new visibility settings have been added for each section:

    • Hide everywhere
    • Hide from submission forms
    • Hide before Live phase
    • Visible in profile sidebar
    • Visible before publishing to Store
  • Customize assessments page > Edit mode > Questions and KPIs: new settings have been added for each question and KPI:

    • Visibility settings:

      • Hide everywhere
      • Hide from submission forms
      • Hide from About page
      • Hide before Live phase
      • Hide from Automation Pipeline
    • Appearance setting:

      • Table: for displaying the questions, the answers and comments in a tabular format on the submission form.
      • Inline: for displayed the questions, the answers and comments stacked vertically on the submission form.
    • Customize assessments page > Edit mode > Questions of type multiple choice > Two new settings available:
    • Max selectable answers: admin can choose the maximum number of answers that can be selected to each multiple choice question when users fill in the assessment.
    • Selection of Equation type: admin can choose which rule will be applied for the selected answers when using this question in a KPI formula. The three options available are: Maximum answer score, Minimum answer score, Sum of answer scores.
  • Customize assessments page > Edit mode: In Category section, while customizing the Overview assessment, the admin can set the minimum number of category levels users need to select when submitting an idea or automation.
  • User Profile: The Business Unit is no longer mandatory when adding or editing a user.
  • Workspace > Automation Pipeline: Following some design changes, information about Last Modified and Date Submitted is no longer available in the first column below the automation name. You can show the columns by selecting them from the dropdown list in the column filter.

Fixed Bugs

  • Automation Store: The Potential benefit was displayed as zero for ideas source other than Citizen Developer.
  • Automation Profile > Edit mode: While editing the assessment of an approved idea, the answers dropdown of the last question from the 1st set of questions and Tags dropdown overlap with the Assessment version section.
  • My tasks: Users with 0 tasks assigned could see null instead of 0 for the unselected tab Incomplete/Completed.
  • Admin Console > Manage Access > Assign Roles: Users that are part of a group with collaborator roles, couldn't be added as standalone collaborators to an automation idea.
