Change Requests

The Change Requests tab contains all the change requests created from the idea or automation, ordered by the submission date.

Creating a New Change Request

The + Change request button enables you to create a change request for the idea or automation.

Note: The + Change request button is available if you have the Account owner, System Admin, Program Manager role, or a custom role with the permission "Submit a change request", and for collaborator roles who have the Submit a change request for an idea or automation permission assigned.

When you click on the + Change request button , the Submit a Change Request page is displayed, where you can enter the details for the change request. See Submit a Change Request for a detailed description.

Convert an Idea Into a Change Request

With this feature, you can change an idea that was mistakenly submitted as a stand-alone idea instead of being linked to a parent idea.

This can be done by users with the permission Change the Idea Source of any idea or have one of the following roles assigned: Account owner, System admin, Program manager.

To proceed with the conversion, follow the steps below:

  1. Access any automation profile (except for change requests), and in the More actions menu from the bottom right side of the screen, select Convert to change request.



  2. A side panel opens where you can select the parent automation.



  3. Select Convert and a pop-up is displayed informing you that the conversion is completed.

    Note: After conversion, a notification banner informs you that the change request now contains unanswered required questions that need to be filled out.
    Note:

    If the idea has at least one change request linked to it, it cannot be converted to a change request.

    In this case, you can:

    • move the change requests to other parents. (this is done by accessing the change request in Edit mode, and from the Change Request assessment, in the details section, change the Parent automations.
    • convert the change requests to ideas.
    • delete the change requests.

The Idea’s properties, assessments, documents, cost benefit analysis, components and collaborators are transferred to the converted change request.

The transferred assessment is visible in the view mode of the change request profile if it has at least one question answered. Otherwise, to make it appear in the profile, you need to fill in using Edit mode from the change request.

Convert a Change Request Into an Idea

With this feature, you can convert a mistakenly submitted change request into a standalone idea.

This can be done by users with Change the Idea Source of any idea permission or have one of the following roles assigned: Account owner, System admin, Program manager.

To proceed with the conversion, follow the steps below:

  1. Access any automation profile with the Idea Source: Change Request, and in the More actions menu from the bottom right side of the screen, select Convert to automation idea.



  2. A pop-up informs you that the fields specific to the change request assessment do not carry over to the new automation profile. Select Next.

    Note: Answers to the assessment will still be visible in the Automation Pipeline, but the change request assessment is no longer visible in the converted idea profile page.
  3. Select a new idea source for the automation idea to complete the conversion and select Next.

    Note: The idea source options is populated based on your permissions. If you have permission to Submit a CoE-driven idea and don't have permission to Submit employee-driven ideas or Submit automations, you'll only see the CoE-driven idea source in the list.


  4. A pop-up is displayed informing you that the conversion is completed.

The Change request properties, assessments (except for change request assessment), documents, cost benefit analysis, components, and collaborators are transferred to the new idea.
