Granting Permissions

Overview

As an Organization Administrator, you can manage user and group access to Insights. This role is independent of any role assignment.

Conditions

  • Organization Administrator is set by default as Admin in Cloud Insights.
  • Access to Insights and associated roles is granted only by the Organization Administrator, by assigning users and roles to the project.

User Roles

Insights supports three main roles: Viewer,Designer, and Admin.ROI Viewer and ROI Editor are add-on permissions to the base roles. Viewer is the most common role granted to users of Cloud Insights.

Designer

A Designer is a user who has edit/copy/create/delete permissions on Insights. Designers may edit dashboards, create new dashboards, make copies of templates to the My Dashboards section, share dashboards with Tenant and Organization or copy dashboards shared to Tenant, and delete dashboards. Designers may also set alerts.

Note:

By default, the number of Designer users is limited to 10. If you want to add more, contact us to purchase additional Designer users.

The number of Viewers is unlimited.

Viewer

A Viewer is a user who has view-only permissions on Insights. Viewers are only able to view the UiPath Templates and Tenant sections, but they cannot create their own dashboards. However, they can download the template or tenant dashboards or schedule them for delivery.

Admin

An Admin is a user who has permissions to configure Insights. Admins have access to User Management and are the only ones who can enter values for the tenant ROI Dataset and configure custom variables.

The Admin role includes Viewer permissions and is assigned by default to users who are part of the Admin group in Automation Cloud. You may not remove Admin permissions on Insights from a user in this group.

Note:

You need to explicitly provide Designer permissions to Admins in order to allow them to edit or create dashboards.

Correspondingly, you need to add ROI Viewer and ROI Editor roles alongside the Admin role to view and manage Business ROI templates.

ROI Viewer/Editor

ROI Viewer/Editor are auxiliary permissions. You must add them on to one of the two main permissions, Viewer or Designer, or to Admin. This permission is specifically targeted to control who can see or make copies of the Business ROI and Business ROI Queues templates, as well as access the ROI-related Explores.

Users assigned to ROI Viewer have view-only access to the Business ROI template. They can interact with the dashboard, but they cannot copy it to their own dashboards (even if they have Designer permissions). To grant a user ROI Viewer permissions, they must have the Viewer or Designer role.

Users assigned to ROI Editor can copy the Business ROI and Business ROI Queues templates into the My Dashboards section. They have access to the Process Manual Values and Queue Manual Values Explores (where the ROI baseline values are stored), which enables them to build new widgets containing the data entered by the admin for the ROI dataset. To grant a user ROI Editor permissions, they must have the Designer role.

Manage User and Group Access

As an Insights administrator, you can manage user and existing group access to Insights. You can assign permissions to groups we support Active Directory groups and Automation Cloud groups.

Assign Users and Groups

  1. Open Insights in Automation Cloud.
  2. Go to the 3-dot menu in the top-right corner and select Manage Access.
  3. Go to the Users or Groups tab.
  4. Click Add Users or Add Groups, respectively.
  5. Search for a user or group in the form field. For example, you can assign access to the Everyone group.
  6. Assign roles to your users or groups.

  7. Press Enter to add the user or groups. You can add multiple users and groups at once.
  8. Click Save to confirm your action. Users and groups are added to Cloud Insights without receiving an invitation by email.



    Important: Only 10 users across the entire account may be granted Designer permissions. For more Designer users, please contact your UiPath representative.

Edit Users and Groups

You can edit the roles of your users and groups.

  1. Open Insights in Automation Cloud.
  2. Go to the 3-dot menu in the top-right corner and select Manage Access.
  3. Go to the Users or Groups tab.
  4. Search for or select a user or group and click Edit User or Edit Group, respectively.
  5. Edit the roles.
  6. Click Save to confirm changes.

Delete Users and Groups

  1. Open Insights in Automation Cloud.
  2. Go to the 3-dot menu in the top-right corner and select Manage Access.
  3. Go to the Users or Groups tab.
  4. Search for or select the users or groups that you want to delete.
  5. Select Delete and then confirm your action in the following dialog.

Folder Permissions Data Restrictions

You can enforce data restrictions at a tenant-level based on the access a user has to Orchestrator folders. With this option enabled, Insights users only have access to data associated with the Orchestrator folders they have permissions to.

To restrict user access based on the Orchestrator folders, navigate to Manage Access and enable the Folder Permissions Restrictions toggle. The restrictions apply to both users and groups. This feature impacts users on the entire tenant—if you enable it, all users' data will be restricted. If you don't enable it, all users will continue to have access to the entire tenant's data.



Important:
  1. Folder Permissions Restrictions are not supported in Cross-Tenant Reporting. The dashboard shows data from all folders across all tenants in the region.
  2. Folder Permissions Data Restrictions will not apply to the processes and queues shown in the ROI Dataset. As admins are the only users with permissions to access the ROI Dataset, they will remain the only users with access to the full list. The data model that users access will reflect the restrictions.
  3. Folder Permissions Data Restrictions will not apply to the configuration of custom variables from processes and queues shown in the ‘Configure Custom Variables’ page. As admins are the only users with permissions to access the configuration page, they will remain the only users with access to the full list. The data model will reflect only the custom variables that correspond to the folder users have access to.
  4. If a folder is deleted or you lose access to the folder in Orchestrator, all historical data inside the folder, such as queues, jobs, robot logs, or custom fields, are no longer displayed in Insights. Any data associated with that deleted folder is considered as not existing. This has an effect on other areas of the product as this data is excluded from ROI dashboards, and custom variables from robot logs and queues associated with that folder are not available. To prevent a similar as the one previously described, make sure to disable folder permissions restrictions. If done so, all data is available again as historical.
