Automation Hub

Task Mining is an automation discovery tool using AI to analyze employees' day-to-day desktop activities. Automation Hub can be the perfect bridge to automation and help accelerate the automation journey upon identifying opportunities with Task Mining.

Exporting a trace from Task Mining to Automation Hub

As a Process Subject Matter Expert, when you identify an improvement for an employees' day-to-day desktop activities in your trace while analyzing the results, you might want to send a request to automate the activity to Automation Hub. For example, when an activity has a lot of repetitive actions or takes a long time to be executed.

You can do this directly from the trace.

Note:

Be careful when completing the metrics for Number of ways to complete the process, % of Digital Input, and % of Structured Digital Data Input in the Export to Automation Hub form since the values submitted may have an impact on the automation potential or determining the ease of automation.

Follow these steps to submit an idea for automation and send it to Automation Hub.

  1. In the Trace diagram window, select Export to open the Export menu.

  2. Select the Automation Hub option.

    The Export to Automation Hub form is displayed at the right.

  3. Enter a name for the automation idea in the Automation name field. You can, for example, use the format Project name - Task name.
    Note: The name must be a unique title within the Automation Hub instance.
  4. Enter a short description of the automation idea where you can include any pre-conditions, inputs or triggers, and outcomes in the Description field.
  5. Select the name of a category that is predefined in Automation Hub as an area for automation to which the automation idea is mapped from the Business area drop-down list.
  6. Select the applicable option from the Number of ways to complete the process drop-down list to indicate the number of ways to complete the activity that is extracted from the data.

    If desired, you can add a Comment to explain your selection.

  7. Enter a percentage value to indicate how much of the input is digital in the % of Digital Input field. If desired, you can add a Comment.

  8. Select a percentage range from the % of Structured Digital Data Input drop-down list to indicate how much of the digital input is structured. If desired, you can add a Comment to explain your selection.

  9. Optionally, select a process owner who will be invited to fill in a more detailed assessment of the automation idea. You can start typing the name in the Process Owner field, and select the email address from the list.

  10. Select Export.

When the idea for automation was successfully sent a notification message is displayed. When you select the View in AH hyperlink in the notification message, you are redirected to the idea in Automation Hub where you are assigned as the submitter of the idea.

Tip:
When you have exported an idea to Automation Hub, you can select the docs image icon for the task trace in the Task traces list, from the project menu bar, or from the project card on the Projects page, to open the linked idea in Automation Hub.


In Automation Hub the Show in Task Mining link is available to go back to the Task Mining project from which the idea was submitted.
Note:

The Show in Task Mining link will also be available for other Automation Hub users who have the same permissions as the user who submitted the idea.

Working with Task Mining exported automation ideas

After successfully exporting a trace to Automation Hub, the Program Manager receives an email notification and the new automation idea is shown in the Explore Automation Program page.

Note: When a new idea is submitted in Automation Hub, a notification email is sent to users with the Program Manager role.

Documentation

Contains files that Task Mining sends to Automation Hub for each trace: Studio export (.xaml file), and a Process Definition Document (.docx).
Note:

Any subsequent Automation Hub trace export is added as documentation to the original automation idea. Refer toUpdating an exported task

Collaborators

By default, the Task Mining submitter and the Process Owner (if selected) are assigned as collaborators.

Updating an exported task

Only one automation idea can be associated to a trace. If you find additional traces for the same idea that you want to export to Automation Hub, these exports will be added to the same Automation Hub idea as documentation.

Follow these steps to export an additional trace and add it to an existing idea
  1. In the Trace diagram window, select Export to open the Export menu.

  2. Select the Automation Hub option.

    The Export to Automation Hub form is displayed at the right, showing the idea to which the trace will be added as documentation.
