Managing the Cost

Configure the cost associated with the RPA implementation by using the below categories.



You as the Program Manager need to complete the below sections:

Currency Set up

Click the Currency drop-down list and select the currency used to display prices and costs. This currency is applied to the entire automation program.

USD is set by default, still, when clicking the drop-down list, you can choose between 99 available currencies.

Available currencies:

After selecting the currency click Save.

Note: The Account Owner can access this section and update the currency that was initially set up for the tenant. To complete this action they need to add the Conversion Rate between the current currency and the new one.


RPA Software Vendor

Click Edit to set up the RPA Vendors to be included in the Inventory. The page becomes editable allowing you to:

  • Add new RPA software vendor
  • Edit existing entries
  • Disable software vendors: any vendor can be disabled, even those listed in the Cost Benefit Analysis of ideas.

    Note: You can only delete RPA Software Vendors that were just added in the same Edit session.


One Time Costs-Implementation People Costs

Compute the one-time initial investment costs to get the idea up and running. The User Role drop-down is populated with the collaborator roles that have already been set up in the Admin Console. To add new collaborator roles, follow the steps as described in Creating a New Collaborator Role page. A cost/day needs to be filled in for each role.

Click Edit to set up the One Time Costs-Implementation People Costs. The page becomes editable, allowing you to:

  • Add new needed role
  • Edit existing entries
  • Disable roles no longer involved in the process.

    Note: Once a cost has been added to a role, the respective role cannot be deleted anymore.

Running Costs-RPA Software Costs

Estimate the running costs by setting up the software license. The Cost Frequency can be set up either as Monthly or as Yearly.

Click Edit to set up the Running Costs-RPA Software Costs. The page becomes editable allowing you to:

  • Add new needed vendors
  • Edit existing entries
  • Delete vendors no longer needed for the process.



Other Running Costs

Click Edit to set up and manage the ongoing costs which include Support Team, Other Software Licenses, Infrastructure, and Other costs.

For Infrastructure costs, we recommend you create multiple cost values corresponding to the size of your ideas. This facilitates the allocation of these costs.

The Cost Frequency can be set either as Monthly or as Yearly.

The cost value is added per each item for the chosen frequency.

The Other Running Costs can be allocated at the level of each Idea Profile by setting a percentage or multiplying the value. This reflects how much of the declared costs are used for that idea.
