Setting up the users

Introduction

To enable users to work with Process Mining, you must set up the user accounts to define access rights for the different Process Mining components.

User management via Automation CloudTM Public Sector

Since Process Mining is a service within Automation CloudTM Public Sector, all users involved in the discovery process need to have an account in Automation CloudTM Public Sector.

To find out how to invite users to Automation CloudTM Public Sector, see Managing Users.

Note: When assigning roles to users or groups, make sure that the licenses that are needed to perform the role are available.
  • The Administrator role does not require a license.

Note: Changes to group membership in Automation CloudTM Public Sector are not immediately reflected in Process Mining permissions. This can take up to 15 minutes. This implies that, for example, when a user is removed from the group, the process app permissions the user gained through the group are not immediately revoked.

User management in Process Mining

Administrators can manage access for users to the Process Mining service in the Admin console.

The Manage access page for assigning roles and app permissions can be opened from the Process Mining header bar.


The Assign roles tab displays a list of users and groups with the assigned roles.

Note: You can set access for users only for Process Mining components and not for other Cloud services.

You can assign roles that grant permissions to a specific user or group. Below is an overview of the different roles that are available for Process Mining users.

Role

Description

Business user

  • A Business user has access only to Published process apps.
  • Access to a specific Published Process App is restricted to the permissions set for this process app.

By default, users that are in the Everyone group have assigned the Business User role.

Developer

  • A user with the Developer role can create, view, edit, or delete process apps.
  • Can manage permissions for published process apps for which they are the owner.

By default, users that are in the Automation Developers group have assigned the Developer role.

Administrator

  • A user with the Administrator role assigned can access the Admin Console tab in Process Mining.
  • Can assign or revoke roles to users and groups.
  • The Administrators group cannot be deleted from the Users & Groups list.

By default, users that are in the Administrators group have assigned the Administrator role.

Note: A user or group can have multiple roles assigned.

Assigning roles to users or groups

You can assign roles to a new user or group, or you can edit a user or group that is already in the Users and Groups list.

Adding users or groups

Follow these steps to assign roles to a user or group that is not listed.

  1. Go to the Assign roles tab.
  2. Select +Add a user or group to open the Assign roles panel.
  3. In the Add Users and Groups field start entering the email address of the user, or the name of the group, you want to assign one or more roles.
    Note: You can only add users that have an account on your organization's Automation CloudTM Public Sector.
  4. If you want to assign the same role or roles to multiple users or groups, repeat step 3 to add the users and/or roles.
  5. Select the Roles you want to assign to the users and/or groups listed in the Add Users and Groups field.

    When you select one or more Roles, the applicable permissions are displayed in the Access list.

  6. Select Add.
  7. Press F5 to refresh the page.

New users and/or groups are listed on the Assign roles tab. For each user or group the assigned role or roles are displayed.

Editing users or groups

Follow these steps to assign different roles for a user or group.

  1. Go to the Assign roles tab.
  2. Select the user or group for which you want to change the assigned roles in the Assign roles list, and select the Edit icon Edit icon.
  3. In the Edit Users & Groups panel, select the Roles you want to assign to the users and/or groups listed in the Add Users and Groups field.

    When you select one or more Roles, the applicable permissions are displayed in the Access list.

  4. Select Save.
  5. Press F5 to refresh the page.

The newly assigned role or roles for the user or group are displayed.

Note: Always refresh the Admin Console page after adding or removing roles for users or groups, to make sure the users can access the functions as defined by the new role or roles.

Removing a user or group

When you remove a user or group, the individual user, or the users that are part of the group do not have access to Process Mining anymore.

Follow these steps to remove a user or group.

  1. In the Assign roles tab, select the user or group you want to remove from the Assign roles list, and select the Delete icon Delete icon.

    A confirmation message is displayed.



  2. Select Remove to remove the selected user or group.

Removing multiple selected users or groups

You can also select multiple users and/or groups from the list and select Remove at the top-right corner to remove users and/or groups in bulk.

Note: If the selection contains a user or group that has the Administrator role assigned, the delete action will not be allowed.

Assigning app permissions to users or groups

You can assign app permissions to a new user or group, or you can edit a user or group that is already in the Users and Groups list.

Follow these steps to assign app permissions to a user or group.

  1. Go to the Assign app permissions tab.
  2. Add permissions for a user or group.

Follow these steps to grant access to a process app that is not listed.

  1. Select +Add an app to open the Add an app panel.
  2. In the Select app access field start entering the name of the app
  3. Select the appropriate app permissions for the group or user and select Save.

Revoking app access for a user or group

Follow these steps.

  1. Go to the Assign app permissions tab.
  2. Revoke permisions for a user or group.
