Sign In and Role Management Updates

What's New

This release brings improvements to authentication, available from Automation Cloud, as well as improved role management from Cloud Orchestrator.

Enforce Sign In With a Preferred Provider

Organization Administrators can now choose to enforce Google or Microsoft as the only sign in option. For example:

Role Cleanup

Role management has been improved in Cloud Orchestrator to better delimit permissions that apply on the tenant level and permissions that apply on the folder level.

Role Types

There are now three types of roles:

  • Tenant roles include only tenant-level permissions, which grant rights in relation to your tenant resources.
  • Folder roles include only folder permissions for working within a folder.
  • Mixed roles include a combination of both tenant and folder permissions.

You can no longer create new Mixed roles, but you can still use the ones you already have.

Moving Away from Mixed Roles

Although you can still use your existing Mixed roles, we recommend that you replace them with separate roles for the tenant and folder permissions they include and assign the new roles appropriately.

A warning is displayed when editing a Mixed role. Expand it for guidance on transitioning to the Tenant and Folder role types:



Creating Roles

When creating a role, you now choose the type of role you want to create: Tenant or Folder.

Each role type allows you to add permissions for the selected context only. It is no longer possible to create roles that contain both tenant and folder permissions, namely Mixed roles. If you have users who need both, you must assign them a Tenant role and a Folder role.

Assigning Roles

The way in which you assign roles has also changed, depending on the type of role and on whether or not you still use classic folders.

  • If Activate Classic Folders is cleared under Tenant > Settings > General:

    You assign Tenant roles and Mixed roles from the Users page or from the Roles page.

    You assign Folder roles and Mixed roles from the Folders page or from the folder's Settings page.

  • If Activate Classic Folders is selected under Tenant > Settings > General:

    You assign any of the three types of roles from the Users page or from the Roles page.

    You assign Folder roles and Mixed roles from the Folders page or from the folder's Settings page.

New Features for Third-party Integrations

What's New

We're always eager to grow a little and try new experiences, and what better time is there than when seasons change?

This release is all about extending our capabilities around third-party integrations and organization administrators can enable the new features for their organization from the Cloud Portal within Automation Cloud.

OAuth 2.0 Available for Automation Cloud Services

Starting now, you can share your UiPath resources with your other applications without also sharing credentials.

Organization administrators can register your non-UiPath application on the new External Applications page. They choose the level of access for each application at registration and then your RPA Developers can automate away, without hassle.

Trigger jobs, get process information, or however you choose to make the most of the UiPath APIs, you can now do it all using OAuth authorization flows, without the need for user interaction.

Azure Active Directory Integration

If you were looking for a scalable user management solution for your organization and are already using Microsoft Azure Active Directory (Azure AD) or Office 365, this one's for you.

With the integration between Automation Cloud and Microsoft Azure:

  • users can log in using their existing Azure AD-linked account
  • you can see users and groups from Azure AD throughout your UiPath cloud platform and can assign them to groups or grant roles for UiPath services as you normally would for UiPath users and user groups.

We've made the integration easy to set up and, if you choose, you can switch to Azure AD with no disruption for your users because their existing permissions are applied to their Azure AD account as well.

Enable/Disable User Licensing

As of today, we added the option to enable/disable user licensing in your Automation Cloud organization. Find the option on the Admin > Organization Settings tab in the Automation Cloud portal.

This operation has huge implications. Make sure you read and understand the compatibility considerations before making any change.



Compatibility Considerations

User-based licensing is not compatible with classic folders and is only recommended for organizations using interactive authentication. Make sure your organization is ready to employ a modern folder structure and that interactive authentication is enforced. Learn how to enforce interactive authentication. Any user license assignments made using the legacy model needs to be recreated using the new model.

When migrating from on-premises to Automation Cloud Orchestrator while in a classic folder setup, you need to make sure user licensing is turned off as this functionality is not compatible with classic folder setups.

User License Management

Beginning today, UiPath Automation Cloud offers a robust licensing framework as an alternative to the previous one, allowing users to access any service from an organization based on their license, provided they have the required permissions. This removes unnecessary overhead from administrators who previously had to move licenses from one tenant to another. This makes it easier for you to manage user licenses centrally across multiple tenants.

Beginning March the 1st, newly created organizations have user licensing enabled by default. We did not remove the legacy license management model, existing organizations are not impacted in any way by this change.

Compatibility Considerations

User-based licensing is not compatible with classic folders and is only recommended for organizations using interactive authentication.

When migrating from on-premises to Automation Cloud Orchestrator while in a classic folder setup, you need to make sure user licensing is turned off as this functionality is not compatible with classic folder setups. If this is your case, you can contact us to disable the user licensing feature and start your migration to Automation Cloud in a classic setup.

Centralized Location for License Management

The new management model allows you to manage all licenses in your organization in the dedicated sections on the Licenses page.

Direct License Assignment Vs License Allocation by Group Membership

We added two new sections on the Licenses page to help you configure and distribute user licenses.

  • License Allocations to Users - You can directly assign licenses to users in case you want full control over a limited set of licenses or to achieve licensing granularity while keeping access control easy using groups.
  • License Allocations to Groups - Group-based licensing, on the other hand, allows you to allocate one or more licenses to a user group making the pool of licenses assigned to the group available to all its members.

New Spot for Managing Robot/Service Licenses

Robot/Service license management hasn't changed fundamentally, but to provide a streamlined management flow, we made it possible for you to manage them on the Licenses page as well. Whereas before the Robots & Services tab could only provide an overview of your licenses, it now includes a new section where you can distribute your licenses per tenant.

Other UI Tweaks

To accommodate the changes brought by user licensing, the Users & Groups page comes with a new column to check license assignments at a glance.

Allocating licenses at the tenant level is dedicated to robot/service licenses only. To this end, user licenses have been removed from the Allocate Licenses to Tenant window.

Removed Actions Functionality From Orchestrator

What's New

As March begins, we have dropped the Actionsmanagement feature and UI from Orchestrator cloud services. The functionality is now strictly available in Action Center services in Automation Cloud, namely on the Actions tab.



Several parts of Action Center are still managed in Orchestrator services:

  • Actions audit logs
  • Folder permissions for Actions, Action Catalogs, and Action Assignment
  • Action Catalogs
