Setting up the Users

Create and manage the user accounts in Automation Cloud

Because Task Mining is a service within Automation Cloud please take into account that all the users involved in the discovery process need to have an account in Automation Cloud.

The following roles can be assigned to the users added in Automation Cloud:

Rights in Task Mining

While using Task Mining features, rights differences between Organization Administrators and Users are as follows:

Organization Administrator can:

  • create and configure projects
  • invite users
  • execute analysis on data collected in projects
  • view and interact with discovered tasks

Users can:

  • install the Client app
  • request applications to be recorded
  • record and upload data

Inviting Users to Automation Cloud

To invite users to the Automation Cloud follow the below steps:

  1. Access the Admin page > Users and Groups tab > Users option.
  2. Click Invite Users.
  1. The Invite Users pane is displayed. Fill in the Email address of the user you wish to invite.
    :exclamation: The email address cannot be edited later. If entered incorrectly, delete the user and invite them again.
    :information-source: For multiple users, enter their email addresses one by one, separated with spaces or commas.
  2. Select the Group Membership.
    Please check the User Group Considerations page for details about each group.
  1. Click Invite.

A confirmation message is displayed providing further details about the process:

The Invite Users window is closed and the invited users are displayed on the Users page as Pending Invitation. Group membership is displayed in the Groups column.

Bulk Adding Users

You can invite up to 1000 users simultaneously, use a .csv file containing the users to be invited and the user groups they belong to. Using this method, you can configure distinct group settings for users. To do this follow the steps below:

  1. Access the Admin page > Users and Groups tab > Users option.
  2. Click Invite Users > Bulk Invite.
  1. The Upload CSV window is displayed. Click Upload File and select the .csv file to be uploaded. Upon upload, file validation is performed.
    1. If the file meets the requirements, the upload operation is performed successfully, and the users in the .csv are invited to the organization as part of the corresponding user groups.
    2. If the file does not meet the requirements, the Error Summary window is displayed. Corrupted user entries are not considered and the corresponding users are not invited.

Editing Users

To edit a user follow the steps:

  1. Access the Admin page > Users and Groups tab > Users option.
  2. Click the Edit icon corresponding to the user account row.
  1. In the Edit User window, make the desired changes and click Save.

Notes:

  • The email cannot be changed.
  • You cannot change your role. Ask another person with the Organization Admin role to perform the changes for you.
  • The user permission is authenticated once per hour. So if you change a user's role from automation user to admin, or vice versa, it may take up to an hour for the change to be reflected on the user's side. This will be improved in future releases.

Removing Users

To remove a user follow the below steps:

  1. Access the Admin page > Users and Groups tab > Users option.
  2. Click the Delete icon corresponding to the user account row. Alternatively, select one or multiple users, and click the Delete button above the user list.

The deleted user account(s) are no longer displayed on the Users page and they cannot access your Automation Cloud organization.

Note:

You cannot delete your own user account. Ask another person with Organization Admin role to perform the changes for you.
