Exploring Actions

Prerequisites

  • You are in the correct Orchestrator folder context.
  • You have the right user permissions to view and manage Actions.

Accessing Actions

To access Actions, navigate to the Actions tab from the left-hand menu.

Viewing Actions in the Inbox Tab

To view all your Actions or other users' Actions, go to the page header and select the Inbox tab. Selecting an Action card opens the Action page to the right side of the Actions list.

The Action cards in a list display the summarized information about an Action.

Note: To view the Action Catalog inside which an Action is stored in, you need View permissions on Action Catalogs.

Viewing pending and unassigned actions

In either the Pending or Unassigned tab, select the corresponding Action. The Action is opened in the right-hand section. If the Action is opened by the user to whom it's assigned, it's editable and can be completed. If a different user opens it, it's read-only.

Viewing completed actions

In the Completed tab, select the corresponding Action. The read-only Action is opened in the right-hand section. Once completed, validation can't be reverted.

Viewing Actions in the Overview Tab

To check an overview of your Actions or other users' Actions, go to the page header and select the Overview tab. The dashboards inside the Overview tab offer information about:

  • How many Actions are Pending,Completed, or Unassigned, in a specified time, and based on their type or priority.
  • The average time it takes to complete an Action.
  • How a specific user handles its Actions, in a specified time.
  • How users handle their actions, based on the Action Catalog to which they belong.

Viewing Actions in UiPath Assistant

The My Actions section allows you to view and manage your Actions directly from UiPath Assistant. The My Actions section displays the total count of your Pending,Unassigned, and Completed Actions.

To view your Inbox from UiPath Assistant:

  1. Open UiPath Assistant.
  2. Go to My Actions.
  3. Select one out of the three action tiles: Pending,Unassigned, or Completed.

Result: A separate UiPath Assistant window opens, where you get an exact replica of the Action Center experience.Find out more about actions inside UiPath Assistant here.

Searching Actions

To search a specific Action, go in the Inbox tab and use the following Action properties inside the search box:

  • Title
  • Action Catalog
  • Full ID
  • Assigned user.

Filtering Actions

To filter Actions:

  1. Go to the Inbox tab and select Sort and Filter actions docs image.

    The Filter panel opens.

  2. Choose from the following filtering operations:
    1. Priority – Show actions by their priority status:
      1. Critical
      2. High
      3. Medium
      4. Low
    2. Time – Show actions by the time when they were created:
      1. Last hour
      2. Last 24 hours
      3. Last week
      4. Last 30 days
      5. Custom - You can choose a starting date (From) and an ending date (To) to see only actions during that time.
    3. Type - Show actions by their type:
      1. Form
      2. External
      3. Document validation
      4. Document classification

    4. Label - Show actions by the labels that they have. Check the labels that you want to filter.
    5. Folder - Show actions by the folder or subfolder they are located in.
    6. Forwarded Actions
      1. For the My Actions view, show only actions forwarded to the current user.
      2. For the Manage Actions view, show only actions forwarded to all users.

Removing Filters

To remove filters individually, select the icon next to each filter.

To remove all filters, select Clear all in the Inbox.

Sorting Actions

To sort Actions:
  1. Go to the Inbox tab and select Sort and Filter actionsdocs image
    The Filter panel opens.
  2. Choose from the following sorting operations:
    1. Priority (High to Low) - sort actions by their priority status, from High (Critical) to Low.
    2. Time - sort actions by the time when they were created, from latest to oldest.
    3. Title - sort actions by their title in ascending (A to Z) or descending (Z to A) order.
    4. Type - sort actions by their type in ascending (A to Z) or descending (Z to A) order.
    5. Action Catalog - sort actions by the name of the action catalog they are linked to in ascending (A to Z) or descending (Z to A) order.
      Note: You can choose only one sorting operation at a time.

Checking Actions History

To review the details of an Action:

  1. Select the desired Action card.
  2. Go to the page header and select the More Options docs image menu.
  3. Select Action summary from the dropdown list.

Result: The Action summary panel opens to the right. The panel provides operations traceability by displaying details such as assigned users or other related changes.

Collaborating on Actions

To give your opinion on an Action:

  1. Select the desired Action card.
  2. Go to the page header and select the More Options docs image menu.
  3. Select Comments from the dropdown list.
  4. Type in your comment inside the Add Comment field.
  5. Select Add Comment.

The panel is available for Pending and Unassigned Actions and it allows you to comment on the selected Action or see the comments from other users.
