Managing Actions

Important: You can only validate an action that is assigned to you. Actions assigned to a user are read-only for the other users. Unassigned actions are read-only for all users.

Action User

Assigning Actions

The procedure for reassigning and unassigning actions is similar.

  1. Navigate to Actions on the left-hand menu.
  2. Make sure you are in the My Actions view.
  3. On the Unassigned tab, click the button for the desired action.
  4. Select Assign to self to assign the action to yourself.

Opening an Action

Based on the status of the action, there are two scenarios:

  • Pending or unassigned actions: On either the PendingorUnassigned tab, click the corresponding action. The action is opened on the right-hand section. If the action is opened by the user to whom it has been assigned, it is editable and can be completed. If a different user opens it, it is read-only.
  • Completed actions: On the Completed tab, click the corresponding action. The read-only action is opened on the right-hand section. Once completed, validation cannot be reverted.

Validating document validation actions requires the user to use Validation Station.

Validating document classification actions requires the user to use Classification Station in Orchestrator.

Form actions have support for PDFs so you can have a look at your PDF files directly from the portal.



Action Admin

Assigning Actions

The procedure for reassigning and unassigning an action is similar.

  1. Navigate to Actions on the left-hand menu.
  2. Make sure you are in the Manage Actions view.
  3. On the Unassigned tab, click the button for the desired action.
  4. Select Assign to user. The Assign User window is displayed.
  5. Select the action user from the drop-down.

    Note: All users granted the required permissions to the action-containing folder are displayed in this drop-down, and implicitly can be assigned an action.
