Capturing with the recorder

It is recommended to create the traces with the Capture trace approach to capture the actions of the task as you perform it and let Assisted Task Mining create the trace diagram automatically. Then you can review and enhance the recorded documentation.



Choose this option if:

  • you want to automatically record the task with the recording client.
  • the task environment can be set up for task completion and recording.

Capturing a trace

After you select the Capture trace button, you see the modal window for downloading the desktop recorder client.

Download & install the application to sign in using your Automation CloudTM account and select a tenant where your project is created.

You can check the hardware requirements for the Recorder client in the Hardware and software requirements for the recorder client section.

If you already have the application installed, the browser modal window appears asking you to launch it. Open the client and get ready to capture your actions!

Task Mining desktop recorder client is a completely new application that is not related to Task Mining client or Task Capture.

Invite users to record a trace

You can collaborate on a project and request your colleagues to record traces of the task to get a complete graph and if needed use the auto merge feature for a more clear understanding of the process.

  1. In the diagram window, select + Add trace.
  2. From the drop-down list, select Invite users to record a trace.


  3. The Invite users to record a trace panel is displayed where you can invite a user to record and also add a message that appears in the email invitation. You can search by username, email, group name, and enter multiple persons using colons or semicolons.


  4. Select the desired users and select Share. An invitation to record is sent via email, and the collaborator can start recording.

Start capturing

The Recorder can be launched in multiple ways as described below:

  • Selecting the Capture trace button in a project.

  • From the start menu of you operating system(OS). (you can use search to find the application or browse in all apps)

  • Clicking the icon displayed in the lower left-hand corner of the screen.

Note:

The default behavior of the recorder is to automatically start with the operating system. If you're trying to start the recorder and nothing happens, it may be already started but the icon is not visible in the lower left-hand corner of the screen, as it might be hidden by the operating system. Just check if this happened by selecting the up arrow as shown in the image below.

When the desktop client is launched for the first time, you're asked to sign in. To do so, follow the steps below:



  1. Select Sign In and a browser page opens up where you might be asked to log in using your credentials, or if already on the Task Mining page, the Task Mining client will automatically log in with your credentials.
  2. Select the desired tenant for which you wish to record and select Continue. If you have multiple tenants, select the appropriate one from the dropdown list.


  3. Select the type of recording.

  4. Select a current project or create a new one.

  5. Ensure you give consent to record your actions by checking the checkbox above the Start button. Also, prepare the capturing environment at this moment to avoid recording irrelevant screenshots - just close the apps that you're not going to use as part of your task.

Before you hit the Start button, you're recommended to prepare all the relevant applications used to perform the task. Now, click the Start button and do your task step by step.



Once you click Start the capturing begins and the application will generate a screenshot of each action you perform - mouse clicks and keyboard events. Ensure you capture relevant data and feel free to provide more details by adding the description on the capturing panel.

While capturing, the following management options are displayed:

  • Pause: allowing you to avoid irrelevant data.
  • Stop: allowing you to finish the documentation task.
  • Add description: allowing you to add a relevant description to each action you capture.

After you finish your task, end the recording and get all the data uploaded back to your project.

The progress on the desktop client is synchronized with the web environment so you'll see it on the web page of your project as well.

Once the actions are uploaded, it's time to process them - at this point, we cluster them to generate the task map for you and apply PII data masking.

When the processing is finished, you can see the trace ready for you to review.

Getting a detailed trace diagram

As a result of the capturing process, a comprehensive diagram illustrating the trace of the procedure is displayed.



Each trace is composed of a number of actions linked between a Start node and an End action. The name of each action is generated automatically based on the name of the user and time it was collected. For details about the actions information, see Viewing and editing the process.
