Build trace

Tip:

It is recommended to capture different traces (variations) of the same task that can be recorded by the same or different users (up to 10).

An Assisted Task Mining project can have up to 100 traces. Each trace can have up to 500 actions.

When you create a project in Assisted Task Mining, you have two options to select in order to create a trace.

If you select Build Trace, you will be able to the process map from scratch and then add actions for each part of the tasks by uploading images manually. Build linear steps within your task or create a task diagram that includes decision points with conditions annotated. Edit the diagram to annotate titles and descriptions to give context to each action within the step.

Select Build Trace to build the task graph of your trace manually step by step.



Choose this option in case:

  • You know the high-level process overview.
  • You want to create the trace graph first and then fill it in with the captured actions.

Building your trace diagram from scratch

The Start action is added to the process map by default, but the element name can be changed by clicking it. Once you select the Build trace option, the first Step is added automatically. To continue building the process diagram, follow the below steps:

  1. Hover over the Step to see the plus (+) sign that allows adding the new element to your diagram.
  2. Hover over the plus (+) sign corresponding to the place where you want to add the next element.
  3. Select the next diagram element type. The available options are:
    • Steps and actions - adds a new step to your trace.
    • Add a decision point - allows you to build different branching scenarios of the process flow
    • Connect to an existing step - lets you add a condition step linked to an existing step

      If you choose the connect to an existing step option, you need to mention in the diagram editor, which step you want to connect to. Just hover over the step to connect to and a dotted line appears depicting the link between the two steps. Once you click on the destination step a link gets established.



  4. Select the name of an element to change its name. Type the desired name and press Enter.

To save changes made to your project, use the Save button.

Invite users to record a trace

You can collaborate on a project and request your colleagues to record traces of the task to get a complete graph and if needed use the auto merge feature for a more clear understanding of the process.

  1. In the diagram window, select + Add trace.
  2. From the drop-down list, select Invite users to record a trace.


  3. The Invite users to record a trace panel is displayed where you can invite a user to record and also add a message that appears in the email invitation. You can search by username, email, group name, and enter multiple persons using colons or semicolons.


  4. Select the desired users and select Share. An invitation to record is sent via email, and the collaborator can start recording.
