Understanding the Process Definition Document

The document you export to Word will have the following elements:

Table of Contents

To go directly to some particular part of the document, press Ctrl and click on the corresponding entry.

Introduction

Edit the provided Purpose of the document if needed. Check the list of Objectives and update it with yours (1). Add roles in the Process key contact part (2). Look through Minimum Pre-requisites for automation (3).

Process Overview

Some of the data is automatically inserted in the table. Other parts require manual input if you need the fullest information.

Applications used in the process

The table is auto-inserted with the list of applications used during the capturing process.

As-Is Process map

High-level As-Is Process map is added here. That is the workflow diagram that has been generated based on the captured process or manually created by you.

Process statistics

It consists of two parts: High-level statistics (1) and Detailed statistics (2). This is also created automatically based on the captured process(-es).

Detailed As-Is Process Steps

In this section, you see each captured sequence (with the name of the window as its name) and separate actions inside this sequence (these include Title and Description, Estimated time, Type of action (e.g. Left Mouse Click) and a screenshot).

To-Be Process Description

It consists of To-Be Detailed Process Map (1), Parallel Initiatives (2), In Scope of RPA (3).

Note:

It is possible to use the exported Word document as a template if you want to create To-Be Process Map with Explorer Expert. And further, update your document with it.

For that:

  1. Add the necessary placeholders to the exported document (e.g. {%diagram} to insert a process map in the necessary place).

  2. Go to Export & Publish >> Word Document >> Template View.
    Hover over any of the templates >> Edit Template.

  3. Open the local template folder. Paste there your exported Word file that you want to use as a template.

  4. Remove the current template file. And rename your document into "template".

  5. Use this template for exporting.

Also, you can add details on the (sub-)processes that are Out of Scope of RPA (4) and on Business Exception Handling (5).

Moreover, you can fill in the table regarding Application Error and Exception Handling (6).

Add Reporting if needed (7) and Other Observations (8).

Finally, feel free to indicate Additional sources of process documentation.
