As opposed to user license management, the legacy license management model provides no clear separation between user and robot/service licenses in terms of management. User licenses and robot/service licenses are assigned on a per-tenant basis in Automation Suite. User licenses are further managed in Orchestrator. This causes a few limitations:
- User licenses are tied to specific tenants, license reassignment between tenants only being possible through manual intervention from an administrator.
- You cannot manage user licenses centrally.
User license management is enabled by default for all organizations created starting in March 2021.
The user licensing model provides a clear separation between user and robot/service licenses in terms of management.
User license management allows you to manage all licenses in your organization in the dedicated sections on the Licenses page. Conversely, in the legacy licensing model, on the Licenses page, you can only visualize your licenses with no license management options available.
User-based licensing is not compatible with classic folders and is only recommended for organizations using interactive authentication. Make sure your organization is ready to employ a modern folder structure and that interactive authentication is enforced. Learn how to enforce interactive authentication. Any user license assignments made using the legacy model needs to be recreated using the new model.
When migrating from on-premises to Automation Suite while in a classic folder setup, you need to make sure user licensing is turned off as this functionality is not compatible with classic folders.
- Navigate to Admin > Organization Settings.
- In the User License Management section, enable/disable the corresponding toggle.
