Managing Licenses

Allocating Licenses to Tenants

📘

Note

You need the Organization Administrator privileges to allocate licenses.

All your available licenses are automatically allocated to your first tenant, automatically created when you sign up with Automation Cloud. When having multiple tenants, you can redistribute existing licenses.

  1. Click Admin > Tenants. The Tenants page is displayed.
  2. On the Tenants page, click Allocate Licenses next to the tenant you want to configure licenses for. The Allocate Licenses window is displayed.
  3. Increase/decrease the number of allocated licenses as needed.
  4. Click Save to save the changes. The Allocate Licenses window is closed. The tenant's status becomes Updating until the process is completed. The number of licenses for each type is updated according to the number of licenses allocated. Learn about editing tenants.

Checking License Allocation per Tenant

  1. Click Admin > Tenants. The Tenants page is displayed.
  2. On the Tenants page, click License Allocation next to the tenant you want to check license metrics for. The License Allocation page is displayed, showing the number of allocated licenses for each license type.

Checking License Allocation in the Organization

A. Click Home. The homepage is displayed. Check the License Allocation section to see the number of allocated licenses out of the total number of purchased licenses in your organization. Switch between the Users and Robots & Services tabs to change the displayed license type.

B. Alternatively, click Admin > Licenses. The Licenses page is displayed, showing the number of all purchased licenses in your organization. Switch between the Users and Robots & Services tabs to change the displayed license type. Hover over the progress bar to see the number of allocated licenses out of the total number of purchased licenses in your organization.

If a license type is not displayed, it means there are 0 licenses of that type purchased for your organization.

License Overallocation

❗️

Warning!

UiPath does not enforce automatic license removal or deny access to the services due to the license excess usage to not create any inconveniences by disrupting your operations. Nevertheless, you are required to adjust the license count within the limits dictated by your organization's license plan.

Continuing to use the excess licenses constitutes a breach of the license agreement and may result in disruption of services if no action is taken within 14 days.

Organization Level Overallocation

If you have more licenses allocated in your organization than provided by your licensing plan, a warning banner is displayed. The license excess is visible on the License Allocation window (Tenants > License Allocation). This can happen if the number of purchased licenses decreased since you last distributed licenses to your tenants.

👍

Solution

Decrease the number of licenses allocated to your tenants.

Service Level Overallocation

If you have more licenses in use in a particular service than allowed by its current license configuration, the License page in that service shows the number of excess licenses on top of the service's total. This can happen if an organization administrator allocates fewer licenses to a service than the number of licenses currently in use.

👍

Solution

Increase the number of licenses allocated to the tenant.

Subscription Plan Changes

Upon a subscription plan change from Enterprise Trial to Community, make sure to adjust the number of allocated licenses and services to fit within the limits imposed by Community. If you’ve allocated more licenses than the number of licenses corresponding to the Community plan, then your tenants are automatically disabled, and the licenses are removed from the associated services.

👍

Solution

Decrease the number of licenses allocated to your tenants.
