Assigning Licenses to Users by Group Membership

This article walks you through the steps for allocating licenses to a group of users in the user license management model.

License release

Licenses allocated through group membership are automatically released if a user is inactive for three months. Inactive users remain in the group and when they log in again, they automatically regain the license, as long as one is available.

Before you begin


You need the Organization Administrator role to allocate licenses.

 

Using the Licenses Page to Allocate Licenses


  1. On the Licenses page, make sure you are on the Users tab.
  2. Expand the License Allocation to Groups section.
  3. Search for the group you want to assign a license to.
  4. Click Create Allocation Rule. The Create Group Allocation Rule window is displayed.
  5. Select a license to allocate to that group and then click Save to save the changes.

OR

  1. On the Licenses page, make sure you are on the Users tab.
  2. Expand the License Allocation to Groups section.
  3. At the top-right, click Create Allocation Rule. The Create Group Allocation Rule window is displayed.
  4. Fill in the name of the group in the Group field.
  5. Click Create Allocation Rule. The Create Group Allocation Rule window is displayed.
  6. Select a license to allocate to that group and then click Save to save the changes.

 

Using the Users and Groups Page to Allocate Licenses


  1. On the Users and Groups page, make sure you are on the Groups tab.
  2. Click Edit Group Allocation Rule for the group you want to assign a license to. The Edit License Allocation window is displayed.
  3. Select a license to allocate to that group and then click Save to save the changes.

 

Allocating Licenses at Group Creation

  1. On the Users and Groups page, make sure you are on the Groups tab.
  2. Click Add Group. The Add Group window is displayed.
  3. In the Name field, fill in the name of the custom group.
  4. In the Group Members field, search for the users to be added as members of the group. Member users inherit roles and licensing rights from the parent group. Learn more about user groups.
  5. When you are done, click Add to create the group.
  6. On the displayed window, click Create Allocation Rule if you want to allocate licenses to the group. The Create Allocation Rule window is displayed.
  7. Select one or more license types and then click Save to save the changes.
