Managing Notifications

Managing your notifications involves subscribing or unsubscribing from events, for both in-app and email notifications. Managing your notifications, as a user, can also mean the actions you take for notifications inside the Notifications panel. Check out the following topics to get started:

Subscribing to events

You can subscribe to certain events to receive notifications about them. Subscribe to events in the Notifications settings page, that you access through the Notifications panel or the Preferences menu. Click to learn more about the Notification settings page.

Subscribing to an event:

  1. Go to the Notifications settings page.
  2. Go to the Actions tab and then go to the Automation Suite or Email column.
  3. Select the checkbox that is inline with the event that you want to subscribe to. For example, select the checkbox that is inline with Action Assigned, to subscribe to notifications about assigning actions.
    If you want to receive both in-app and email notifications on an event, then select both checkboxes under Automation Suite and Email


Subscribing to all events:

  1. Go to the Notifications settings page.
  2. Go to a service tab (for example, Actions) and then go to the Automation Suite or Email column.
  3. Select the Automation Suite or Email checkbox to subscribe to notifications on all events.


Subscribing external AD group to events

Here's how to subscribe an entire external AD group to events for email notifications. Only notifications about events that impact user groups are sent to external AD groups.
Note: Only organization admins can perform this task.
Prerequisites: For users from the external AD group to receive email notifications, perform the following steps:
  1. Access the external AD user group account in Outlook.
  2. Go to Group Settings, and then Edit Group.
  3. Select Let people outside the organization email the group.
  1. In the organization Preferences, go to the Notification settings page.
  2. Change the view from My Notification to Manage Notification.
  3. Select Add user group, to add an external AD group as a notification profile.
  4. Search the name of the external AD group you added inside your tenant and select it.
  5. Select Configure.
  6. Go to a service tab (Actions, for example), and choose the default events the external group should be subscribed to.
  7. Select the checkboxes under Email to choose the default events the users in the external group are subscribed to.
  8. After you finish the configuration, select Save.

Configuring default subscriptions

In the Manage Notification view, there is a Default user group. You can edit the group to change the default notification subscriptions. Here's how to configure the default subscriptions for all the users inside your organization, including for external AD groups.
Note: Only Organization Administrators can perform this task.
  1. In the organization Preferences, go to the Notification settings page.
  2. Change the view from My Notification to Manage Notification.
  3. Select the Edit icon inline with the Default user group.
  4. Go to a service tab (Actions, for example), and choose the default events all users should be subscribed to. Also choose to hide or unhide some or all events for users in the organization.
    1. Select the visible icon next to an event to hide or unhide it from the users in the external group.
    2. Select the checkboxes under Mandatory. This subscribes users to an event, without the possibility of changing this setting.
    3. Select the checkboxes under Automation Suite and Email to choose the default events the users are subscribed to.

Unsubscribing from events

To stop receiving notifications, you can unsubscribe from certain events. You can unsubscribe from events from the Notifications panel or from the Notifications settings page.

Unsubscribing from the Notifications panel:

  1. Access the Notifications panel.
  2. Go to a notification and select the More Options menu.
  3. Select Unsubscribe from event. For example, select Unsubscribe from Action assigned.

Unsubscribing from the Notification settings page:

  1. Go to the Notification settings page.
  2. Go to a service tab (Actions, for example) and then go to the Automation Suite column.
  3. Deselect the checkbox that is inline with the event that you want to unsubscribe from. For example, deselect the checkbox that is inline with Action Assigned, to unsubscribe from notifications about assigning actions.

    If you want to unsubscribe from both in-app and email notifications for an event, then deselect both checkboxes under Automation Suite and Email.



Unsubscribing from all events

  1. Go to the Notifications settings page.
  2. Go to a service tab (Actions for example) and then go to the Automation Suite or Email column.
  3. Deselect the Automation Suite or Email checkbox to unsubscribe from notifications about all events.


Warning: Unsubscribing from all action activities, via both Automation Suite and Email, generates the following warning: "You’re not subscribed to receive any notifications from this service.".

The Restore Default Subscriptions button restores the default subscriptions for notifications received both on Automation Suite (through the Notifications panel) and Email.

Deleting Notifications

You can delete notifications only individually. To delete a notification:

  1. Go to a notification from the Notifications panel and click the More Options menu.
  2. Click Delete.

Clicking Delete permanently deletes a notification.

Marking All Notifications as Read

To mark all notifications as read:

  • In the Notifications panel, click the More Options menu and then click Mark all as read.

Clearing All Notifications

To clear all notifications from the Notifications panel:

  • In the Notifications panel, click the More Options menu and then click Clear all.
